Tavrn and YoCierge both pull medical records nationwide for law firms, and both will get you the records. They part ways on how much case preparation your paralegals still face once the file lands in the folder.

YoCierge sells record retrieval with an analysis layer on top of it. Tavrn sells retrieval as step one of a workflow that ends with a drafted demand letter.

Before comparing feature lists, it helps to know where [current requests stall](https://www.tavrn.ai/blog/medical-record-request-challenges). The comparison below covers follow-up method, pricing, request visibility, and what each platform does once records arrive.

## How Each Platform Pursues Providers

Providers control the retrieval clock. Under federal privacy rules, a provider must act on a records request within 30 calendar days, with one 30-day extension available if it sends written notice. The [HIPAA right of access](https://www.ecfr.gov/current/title-45/subtitle-A/subchapter-C/part-164/subpart-E/section-164.524) sets a ceiling measured in weeks, so a vendor competes on how well it works inside that window.

YoCierge submits requests and follows up through manual outreach, handled by staff during working hours. For firms whose providers answer on the first or second try, that works.

Tavrn treats follow-up as a targeting problem. Instead of calling every facility on the same schedule, it uses response data to work out when a given custodian picks up, which channel that office answers on, and how many attempts to make before escalating. Autonomous Mode runs the scheduling and follow-ups without a paralegal queuing each action, so no one on your team keeps a follow-up spreadsheet.

[Paul LLP](https://www.tavrn.ai/customer-stories/paul), a Kansas City complex litigation firm sourcing records from hundreds of facilities, ran into the ceiling on manual outreach. Paul LLP went from multiple full days of paralegal time a week to one or two hours. The firm chose Tavrn over general AI tools and traditional retrieval vendors specifically because it needed scale without adding headcount.

## What Happens Overnight and on Weekends

YoCierge publishes a clear commitment: any order received before 4:00 p.m. goes out the same day, and returned documents are uploaded the same day.

A same-day dispatch deadline exists because dispatch runs in batches during business hours. Submit at 4:15 p.m. on a Friday and your request sits until Monday.

Tavrn's agents do not batch. They navigate phone trees, work through provider objections using memory of previous calls with that facility, pay required invoices, and pull documents from connected networks, continuously, including nights and weekends. For a firm filing a complaint against a statute of limitations deadline, the difference between a request going out Friday evening and Monday morning is three days of a 30-day clock. Firms that time their own requests find the [delay sits in follow-up](https://www.tavrn.ai/blog/getting-medical-records-on-time), not in getting the first request out the door.

## Can You See What Your Vendor Is Doing?

Both platforms track requests. They differ in what they write down.

YoCierge provides live order status on its portal, along with downloadable invoices and permission levels that let staff check status without accessing the records themselves.

Tavrn logs the substance of the outreach, not just the state of the order. It captures every provider interaction as a secure call transcript and keeps it as an audit trail, so when a request stalls, you can read what the facility said. Actionable statuses mark which requests need attention, and smart notifications surface delays when they happen rather than when someone thinks to check.

A status field tells your paralegal the request is pending. A transcript tells her the custodian rejected the authorization over a blank date field, which she can correct that afternoon.

## Pricing: How Each Vendor Quotes

Tavrn quotes its rate on a call, and required provider fees are passed through at cost. Requests can be submitted as Medical, Billing, or Combined, so a case that needs only billing records is not charged for a full package.

YoCierge charges a volume-based flat fee with no per-page component, positioned against per-page vendors whose invoices land at several times the estimate. Custodial charges sit outside the flat fee, and firms can cap the maximum per location so an unexpected custodian charge needs approval first.

The rate itself is not published. There is no pricing page, and the number arrives after a call with sales. If you are building a case cost model or estimating disbursements at intake, that gap matters more than whatever figure you eventually get quoted. Firms tracking [retrieval spend by state](https://www.tavrn.ai/blog/medical-record-retrieval-costs) need something they can put in a spreadsheet this week.

## What Happens After the Records Arrive

YoCierge has put real work into post-delivery tooling, and a fair comparison has to account for it: ReChron reorders records chronologically by identifying true dates of service among faxing and signature timestamps and scans for diagnostic codes; Medical Expense Table produces an Excel workbook with per-provider sheets separating patient payments from insurer payments, including procedure codes where available; AI summaries condense each document and surface text relating to injuries and pain, delivered in the portal and in notification emails; AI Record Fee Review compares provider invoices against state-mandated record fees and flags likely overcharges.

Those tools organize, summarize, and price-check the records that arrived. Every one of them works on documents already in hand. Tavrn's workflow continues past that point:

- **Missing Bills and Records Reports** identify coverage gaps, showing which providers, date ranges, or billing records are absent from the file.
- **Medical chronologies** are hyperlinked to source pages, flagging diagnoses, treatments, gaps in care, and pre-existing conditions. [Building one by hand](https://www.tavrn.ai/blog/medical-chronology-paralegal) costs days of paralegal time.
- **Demand letters** are drafted from the chronology and the billing record, integrating injuries, treatment, and damages rather than restarting from a blank template. The mechanics of [drafting an effective demand](https://www.tavrn.ai/blog/personal-injury-demand-letter) are where retrieval turnaround finally converts to settlement value.
- **Client intake scoring** assesses case value at the front of the funnel, and eDiscovery support handles document review volume on the back end.

Martay Law Office, an Illinois firm handling document-heavy workers' compensation matters, saw the effect on the processing side after the clerk who built its chronologies left. Martay Law Office filed 65% more cases year over year; the [customer story](https://www.tavrn.ai/customer-stories/martay) has the detail.

## Which Platform Fits Your Firm

Choose Tavrn when the bottleneck is your whole pre-demand workflow rather than the request itself. Firms that want intake scoring, retrieval, missing-record detection, chronologies, and demand drafting in one system get more out of Tavrn. This describes most high-volume personal injury and medical malpractice practices, where the paralegal team is the constraint and every manual handoff between systems costs a day.

**Consider YoCierge when** retrieval is all you need, your paralegals already have chronology capacity, and one of their integrations or defense-side workflows matters to your practice. Their independent audit logs and custodial fee caps are real strengths, and firms with heavy compliance review may weight those highly.

One question settles it for most firms: on the day records land, does your paralegal start building the chronology, or start reviewing one?

## Move From Records to Demand Without the Handoffs

When records arrive organized, missing providers surface early, and the chronology is built from the complete record, your paralegals spend the recovered hours on cases instead of on the queue.

You can read [how Bigos Law rebuilt](https://www.tavrn.ai/customer-stories/bigos) its case preparation workflow, or compare the tradeoffs of [automated versus manual retrieval](https://www.tavrn.ai/blog/ai-vs-traditional-medical-record-retrieval) before deciding.

## Who handles getting the HIPAA authorization signed?

Both platforms generate the authorization rather than leaving it to the firm. Tavrn supplies pre-built HIPAA forms and faxes, generates the authorization as part of submitting a request, and contacts the provider once the form is ready. YoCierge uses a proprietary e-signature tool called YoSign, where the firm enters the client's email address or mobile number when placing an order, and YoCierge sends the correct form for electronic completion. The difference shows up when an authorization comes back rejected for a missing date or an outdated form version, because a rejection restarts the provider's response clock rather than pausing it.

## Can either platform identify which providers hold a client's records?

Yes, through different mechanisms. Tavrn works from a provider network covering all 50 states and uses intake analysis to extract case facts that feed request generation, which reduces the manual facility research paralegals otherwise do by phone. YoCierge runs an [Instant Medical Record Locator](https://www.prnewswire.com/news-releases/yocierge-expands-instant-medical-record-locator-service-to-nevada-and-connecticut-advancing-nationwide-medical-record-access-for-law-firms-302709819.html) that searches statewide networks after a client completes identity verification, surfacing providers the client may have forgotten. That service launched in New York and Delaware in 2025 and expanded to Nevada and Connecticut in March 2026, so its coverage currently spans four states. For firms with clients treated across state lines, national network reach matters more than statewide search depth.

## Is client data used to train AI models?

Tavrn states that customer data is never used to train or improve any AI models, and documents AES-256 encryption at rest, TLS 1.2 in transit, single sign-on with multifactor authentication, and a security program aligned with SOC 2 criteria and HIPAA standards. YoCierge publishes SOC 2 Type II, ISO 27001, and ISO 22301 certifications, and supplies third-party audit logs independent of its own systems, but publishes no equivalent statement on AI model training. Any firm with confidentiality obligations to its clients should ask a prospective vendor to put its training-data position in writing before signing, since a verbal assurance is difficult to enforce later.
