From solo practices to national organizations, coast to coast

Your work can’t move until the record does.

Every health-data network and portal combined returns about 63% of a patient’s visits. The rest sits in fax queues, portals and records departments that nobody calls.

How it works

A single process for medical record retrieval

Show the process for
  1. A new request starts in the Tavrn platform, from Clio, SharePoint, Smokeball, Litify, SmartAdvocate, Dropbox, or from the API.
    01

    Request

Start the request from the matter in Litify, SmartAdvocate, Clio, Smokeball, SharePoint, Dropbox, or the API. One signed HIPAA authorization covers every provider; Tavrn prepares each provider’s release.

Request a patient’s outside records from one screen, naming each hospital, clinic, imaging center, and lab. One HIPAA authorization covers every provider on the list.

Order records from inside your product. One request per provider under the patient’s signed authorization, sent through the REST API or uploaded as a spreadsheet.

Create one retrieval request per provider, with the patient’s signed authorization attached, and keep the request ID. Agents start at tavrn.ai/agents.md.

  2. A status card with one row per provider: records received, confirming receipt with a provider-stated date, action required to approve a fee, and the next follow-up in 48 hours.
    02

    Track

Every provider has its own status, stated date, and contact history. Tavrn follows up every 48 hours by fax, portal, mail, email, or phone, and flags fee approvals as action required.

Tavrn asks networks and portals first, then faxes, calls, or mails the providers they do not reach, following up every 48 hours. You see each provider’s status and contact history.

A webhook fires on every status change, so your product always knows where each provider stands. Tavrn follows up with every open provider every 48 hours until records arrive.

Providers answer on their own schedule. A webhook fires on every status change, or poll the request, while Tavrn follows up with every open provider every 48 hours.

  3. A folder of checked documents filed by provider and date of service, with record type, page count and file type for each file.
    03

    Deliver

Checked records land in the matter, with provider fees posted as case costs. Tavrn also pulls the accident report and verifies coverage with each carrier; chronologies and demands build from the file.

Notes, DICOM images, pathology reports, and labs arrive in one folder per patient, by provider and date of service, checked against the request. HIM files them to the chart.

Documents arrive as each provider responds: notes, imaging with DICOM, pathology reports, labs, and bills, filed by provider and date of service. Download by API or SFTP into your pipeline.

Each file is checked against the request: dates of service, record types, pages. Download documents with the same key, with record type, page count, and file type attached.

Medical records, billing records, radiology images, accident reports and insurance coverage from any US provider — plus medical chronologies and demand letters built from the record.
Which providers can Tavrn reach?
Around 425,000 provider organizations across all 50 states and DC: the health-data networks plus the long tail that only answers fax, portal, mail, email or phone.
How long does retrieval take?
Requests go to the provider the same day. Every open request is followed up automatically every 48 hours, and you see per-provider status and provider-stated dates live.
Does Tavrn replace our existing system?
No. Start requests from Litify, SmartAdvocate, Clio, Smokeball, SharePoint or Dropbox and records land back where you work; anything else connects over the API and webhooks.
How long does it take to get started?
Requests can start the day your team gets access to the Tavrn app. Litify, SmartAdvocate, Clio, Smokeball, SharePoint and Dropbox connect during onboarding without engineering work on your side; API keys are issued in the Tavrn dashboard after a 30-minute call.
